1.             Privacy Policy

 

1.1          XPO Exhibitions Limited is a New Zealand-registered company with its address at Level 3, Orams Marine Village, 152 Beaumont Street, Westhaven, Auckland, 1010 (“we”, “us” “our”). 

 

1.2          We recognise the importance of protecting your privacy.  Please read this policy carefully as it sets out our approach in relation to the management of personal information, including:

 

(a)        When and how we might collect your personal information;

(b)        How we may use your personal information (purpose of collection);

(c)        Our use of cookies and analytics tools in connection with our website;

(d)        Your rights to access and correct any personal information;

(e)        How you can contact us.

 

1.3          To provide you with our products and services, including issuing tickets to our events, we need to hold and process your personal information.  By providing personal information to us for this purpose, and/or in using this website, you agree to the terms and conditions of this policy.  If you choose not to provide us with personal information this may impact the extent to which we can provide our services to you.

 

2.             When and how we might collect your personal information

 

2.1          When we refer to personal information, we mean information about you that you have provided us or, which has been collected from others (including third parties). 

 

2.2          Personal information that we collect may include your name, occupation or industry in which you work, address, email address, phone number and date of birth.  We may also collect information through answers you give to questions we ask and other information in relation to your dealings with us or our third party providers (where you have consented to such information being passed to us, or otherwise as permitted by law, for example where the source of the information is publicly available).  Where we have collected additional personal information from you this will be used for the purposes further described in this privacy policy.

 

2.3          We may collect your personal information from you when you:

 

(a)        use our website; 

(b)        use any of our event websites;

(c)        register online or onsite for our events;

(d)        complete any forms (including registration or contact forms) either online or at our events;

(e)        otherwise provide personal information to us.

 

3.             How we may use your personal information (purpose of collection)

 

3.1          We will use your personal information for the purpose for which it is collected as outlined in this policy or otherwise disclosed to you at the time of collection, which includes the following purposes:

 

(a)        To enable us to effectively deliver our services whether online, in person or at our events. 

 

(i)         Delivery of online services may include sending you communications, including by email (either directly from us or using third party services), or by phone (including AI-enabled calls).  These communications may relate to events for which you have registered, information on future events which we believe may be of interest to you, or other information you have requested.  We may also send marketing or promotional communications where you have opted in to receive them, or contact you to obtain feedback to continually enhance your experience of our website and our services.

 

(ii)        The delivery of services at our events may include measures aimed at ensuring accessibility and enhancing the overall experience for our customers, including enabling you to share your contact details with exhibitors.  

 

(b)        To respond to your inquiries and requests.

 

(c)        For business records keeping purposes as required by any applicable laws.

 

(d)        To verify your identity.

 

(e)        For internal business purposes, such as improving our products and services offerings including and providing you with offerings about products and services that may be of interest to you;

 

(f)         For compliance with regulatory requirements.

 

(g)        Any other purpose to which you provide express consent.

 

(h)        Any other purpose required and permitted by law.

 

3.2          We also use personal information to create generalised statistical reports about the demographics of attendees at our events or users of our websites.  These statistics do not identify you individually.  Such aggregated statistical information may be summarised and included in event attendance reports provided to prospective exhibitors to demonstrate the demographic profile of visitors to our events, and to assist us in improving the quality of our events. 

 

3.3          Your personal information that you have provided to us on your event registration form (specifically your name, email address, phone contact details and postal address) will be loaded onto your event entry pass (either your visitor ticket barcode or visitor registration badge barcode) as issued by us.  When you scan your entry pass at an exhibitor’s stand such personal contact information will be transferred to that exhibitor and will be subject to their privacy policy.  Scanning your event entry pass constitutes your express permission for such personal contact information to be shared with such third-party exhibitor who is authorised to use such information only for the purpose for which it was collected.

 

3.4          No images are stored in any of our smartphone apps or our devices which scan your visitor badge barcode.  

 

3.5          To be able to provide our services to you, we may need to disclose your personal information to third parties including:

 

(a)        Exhibitors at our events.

 

(b)        Third party service providers such as IT services, data analysis, e-mail and direct mail delivery services, courier companies, electronic data storage, transmission and management, payment and credit card processing, and other such services.

 

(c)        Professional advisers, including lawyers, insurers, financial institutions, accountants and auditors.

 

(d)        Government and regulatory authorities, where we are required to disclose personal information by law.

 

4.             Website Tracking & Cookies

 

4.1          We may collect non personally identifiable information about your visit to our website through cookies (small data files that are stored on your computer when you visit a website) to assist us to measure and improve our website.  Cookies may be used to personalise your visits to our website, reduce the need for you to repeatedly enter information, and enhance the content, reliability and functionality of our website.  Examples of information that we collect include date and time of your visit, whether you have visited our website previously, whether you used a search engine to find us and some geographical information about what country and state you are in.  You can set your browser to reject cookies, or to notify you when you receive one in order to accept or reject such receipt in each instance.  Accepting a cookie will not give us access to any data on your computer other than the data stored in the cookie.  If you configure your browser to reject cookies you may experience reduced functionality.

 

4.2          To improve our website and our advertising we may use patterns and other meaningful information gathered from web analytics tools, which may include traffic to, from and within our website, your mouse click activity, your IP address and other information you voluntarily enter into our website.  We may also use cookies set by third party service providers, (such as advertising networks, social media platforms, and analytics providers) to help keep our site secure, support the delivery of our services, and enable advertising and marketing activity for us and organisations we work with.  For example, we may use web analytics services from Google Analytics.  Google combines data collected via cookies on our websites with information gathered through its other services.  More information on how Google collects and processes information can be found in Google’s privacy policy.

 

5.             E-newsletters

 

5.1          Where you register for an event, we will send you information about that event.  If you select to opt in to receive marketing communications, or it is otherwise permitted by law, you will be subscribed to event e-newsletters that contain information about the events we host.  If you do not want to receive e-mails from us simply unsubscribe from the e-newsletter by clicking the unsubscribe button in the email newsletter.

 

6.             Access and Correction of Personal Information

 

6.1          Where we hold personal information about you, you are entitled to request access to this information, and request that we correct any incorrect information.  Requests may be submitted by phone on +64 9 976 8300 or by emailing info@xpo.co.nz.  We will not charge you for the request or to correct or update your personal information.

 

7.             Storage and Security of Personal Information

 

7.1          We will take all such steps as are reasonable in the circumstances to protect your information from risks such as misuse, interference and loss, and from unauthorised access, modification or disclosure.  We hold your personal information in a combination of hard copy and electronic files.  We have systems and procedures in place to safeguard information, including the use of technical measures such as encrypted servers and maintaining physical security in order to prevent unauthorised access to records, documents and materials.  We will not keep your personal information for longer than is required for the purposes for which the information is lawfully used.

 

8.             Disclosure of Personal Information Outside of New Zealand

 

8.1          In the instance where personal information is disclosed to a third-party entity operating in a foreign country, we will take steps to ensure that such disclosure is in accordance with the requirements under the Privacy Act 2020.

 

9.             External Websites

 

9.1          Our website and event websites contain links to other websites operated by third parties.  We are not responsible for the privacy practices of other websites (excluding the event websites owned and managed by us which link to our privacy policy).

 

9.2          We encourage our users to be aware when they leave our website to read the privacy statements or policies of each and every website that collects personally identifiable information; third-party websites are responsible for informing you about their own privacy practices.  We make no representation or warranty in relation to the privacy policies and practices of any third-party website. 

 

10.          We Reserve the Right to Change This Policy.

 

10.1       Please take the time to review this policy regularly as we may review it and make changes to reflect changes in legislation, codes of practice, our business and the products and services we provide to you. We will post the policy changes to our website.
